How to use lemwarm templates

Updated yesterday

If your emails feel too promotional or don’t provide enough value, they can be ignored, marked as spam, or blocked by spam filters before they ever reach your audience. Personalized Template Warm-Up in lemwarm helps you warm up the actual email content you plan to send, so mailbox providers see it as legitimate and are more likely to place it in the Primary inbox.

Learning objective

By the end of this tutorial, you’ll know how to create, enable, and monitor personalized email templates in lemwarm so you can warm up real campaign content before sending it to prospects.

Why this matters

Warming up your actual campaign templates helps improve deliverability by showing inbox providers that your messages are trustworthy. This reduces the risk of landing in spam and gives you a safer way to test campaign content before launching outreach at scale.

Note: Personalized Template Warm-Up is available only on the Smart Plan.

Prerequisites

  • You should already have a lemwarm account connected and actively warming your mailbox.

  • You should already be on the Smart Plan.

  • You should already have a draft of the subject line and email copy you want to warm up.

Core lesson — step-by-step workflow

Phase 1: Create your personalized template

  1. Open the template area and start a new template.
In the left sidebar, go to My templates, then click Add a template. This is where you manage all campaign templates used for warm-up. Starting here ensures lemwarm can track each template separately, including its status and spam rate.

  2. Write the email you want to warm up.
Add your Subject and your Email content, then click Save. Use the real version of your campaign whenever possible, because the goal is to warm up the exact type of content you plan to send later.

Phase 2: Enable the template for warm-up

  1. Turn on the template.
After saving, return to the templates list and switch the template toggle on. Enabling the template tells lemwarm to start including that content in the warm-up process. If a template is not enabled, it won’t be used.

Phase 3: Let lemwarm warm it up safely

  1. Give the template time to build trust.
Once enabled, lemwarm starts warming up your template inside its dedicated warm-up network. For best results, let the template warm up for at least 3 to 7 days before using the same messaging in a real campaign. This gradual process helps mailbox providers recognize the content as safer and more legitimate.

  2. Know what lemwarm monitors automatically.
lemwarm tracks the spam rate of each template. If a template’s spam rate becomes too high, it may be disabled automatically for security reasons. This protects your sender reputation and helps prevent risky content from hurting future deliverability.

Phase 4: Monitor results and adjust if needed

  1. Review inbox placement and spam signals.
Use your dashboard reporting to see where your emails are landing over time. A healthier warm-up pattern should lead to more inbox placement and fewer spam placements, which helps you decide when a template is ready for broader use.

  2. Track template-level status from the list view.
In My templates, you can review the current status of each template and its spam rate. This makes it easier to compare templates and pause or revise weaker-performing content before launching it to real prospects.

Best practices for personalized template warm-up

  • Warm up real campaign copy: The closer the template is to your actual outbound email, the more useful the warm-up will be.

  • Avoid overly sales-heavy wording: Aggressive claims, spammy phrasing, or low-value messaging can increase spam risk.

  • Start before launch day: Don’t wait until the day you plan to send. Give the system several days to build trust.

  • Monitor spam rate closely: If a template performs poorly, revise the copy before using it in a live campaign.

  • Keep content non-sensitive: Other users in your lemwarm cluster may see the template during the warm-up process.

Important limits and notes

  • You can create and enable up to 5 templates.

  • Do not include confidential or sensitive information in templates used for warm-up.

  • If a template shows a high spam rate, lemwarm may disable it automatically to protect your deliverability.

Practical application

Here’s a simple example of when to use Personalized Template Warm-Up:

  • You’re about to launch a new outbound sequence to prospects.

  • Your email uses a real offer, a real call to action, and your production subject line.

  • Before sending to live leads, you add that exact email as a template in lemwarm and let it warm up for 3–7 days.

  • You monitor spam performance, then launch only after the content shows healthier placement.

This is especially useful when testing new messaging angles, more promotional copy, or campaigns aimed at Gmail users, where inbox placement can be sensitive to content quality.

What else you get with the Smart Plan

Smart Cluster

Smart Cluster helps you improve deliverability by warming your emails in a more relevant environment. Based on your questionnaire responses, lemwarm tailors the warm-up network to better match the type of audience you want to reach.

Smart Content

Smart Content makes warm-up emails more aligned with real business outreach. Instead of generic warm-up messages, it generates more professional or sales-oriented emails based on your Smart Cluster preferences.

Troubleshooting & pitfalls

Issue: My template won’t start warming up

  • Root cause: The template was saved but not enabled.

  • Fix:

    • Go to My templates.

    • Find the template in the list.

    • Turn the toggle on to enable it for warm-up.

Issue: My template is disabled automatically

  • Root cause: lemwarm detected a spam rate that was too high.

  • Fix:

    • Review the subject line and body copy.

    • Remove spam-triggering language, excessive links, or overly aggressive sales wording.

    • Save the revised version and monitor its performance again.

Issue: I don’t see good results immediately

  • Root cause: Template warm-up needs time to influence deliverability.

  • Fix:

    • Allow at least 3 to 7 days of warm-up.

    • Avoid changing the template too often during that period.

    • Check dashboard trends instead of judging results from a single day.

Issue: I want to add more templates but can’t

  • Root cause: You’ve reached the template limit.

  • Fix:

    • Review your current templates in My templates.

    • Disable or remove old templates you no longer need.

    • Create a new one once space is available.

Issue: I’m worried about sharing confidential content

  • Root cause: Templates may be visible to other users in your lemwarm cluster during warm-up.

  • Fix:

    • Do not include private customer data or sensitive internal details.

    • Use generalized messaging where needed.

    • Keep the template realistic, but not confidential.
