Import leads from HubSpot to lemlist
There are two easy ways to bring HubSpot contacts into lemlist:
From HubSpot directly using the lemlist Chrome extension for quick, manual imports
From lemlist using CRM import, which requires a saved HubSpot filter/segment first
This guide walks you through both workflows, explains when to use each one, and shows the key options to review before you import.
Learning objective
By the end of this tutorial, you’ll know how to import HubSpot leads into lemlist either directly from HubSpot with the Chrome extension or from inside lemlist using a saved HubSpot filter.
Why this matters
Importing leads from HubSpot into lemlist helps you move faster from CRM data to outreach. The direct HubSpot method is best for quick one-off pushes, while the lemlist CRM import method is better when you want a cleaner, repeatable workflow tied to HubSpot filters.
Prerequisites
You should already have your HubSpot account connected to lemlist.
You should already have access to the lemlist Chrome extension if you want to import directly from HubSpot.
You should already know which campaign in lemlist you want to add these leads to.
Method 1: Import from HubSpot with the lemlist Chrome extension
When to use this method
Use this option when you’re already working inside HubSpot and want to quickly select contacts and push them into a lemlist campaign without leaving your CRM.
Phase 1: Open your HubSpot contacts
Go to HubSpot → Contacts. From there, you can browse your contact list and optionally narrow it down with filters before selecting records to import. This is useful when you want to send only a specific subset of leads to lemlist.
Phase 2: Select the contacts you want to push
Select the contacts you want to import, then click Add to lemlist in the extension widget. This sends your selected HubSpot contacts to the lemlist import panel.
Phase 3: Choose the destination campaign
In the lemlist side panel, review the selected profiles and click Push 3 to campaign. Then choose an existing campaign or create a new one. This step tells lemlist where the imported contacts should go.
Select the campaign you want to use. If needed, you can also create a new campaign from this screen before completing the push.
Phase 4: Choose enrichment options before import
Before pushing the contacts, choose whether you want lemlist to enrich the records with additional data such as Find email, Find phone, Verify email, or Enrich LinkedIn data. These options are helpful if your HubSpot records are incomplete.
Once everything looks right, click Push to campaign to complete the import.
Best for: fast, manual imports from HubSpot.
Keep in mind: this workflow is ideal when you want to hand-pick contacts, not when you need a reusable synced filter.
Method 2: Import from lemlist using a HubSpot filter
When to use this method
Use this option when you want a more structured workflow from inside lemlist. Before you can import, you need to create and save a filter in HubSpot so lemlist can pull that exact audience.
Phase 1: Create and save a HubSpot filter
In HubSpot → Contacts, apply the filters you want for the audience you plan to import. For example, you might filter by contact owner, lifecycle stage, or another property so only the right leads are included.
Open View settings, go to Filters, and choose Save view as segment. This turns your filtered contact view into a saved HubSpot segment that lemlist can later use during CRM import.
Review the filter logic, confirm the matching contacts, and click Next. This is where you verify that the segment contains the right leads before saving it.
Choose whether the segment should be Active or Static, then save and process it. An Active segment updates automatically as contacts start or stop matching the filter, while a Static segment stays fixed.
Tip: If you want lemlist to keep syncing the latest matching contacts over time, use an Active segment in HubSpot.
Phase 2: Start the import from lemlist
Open your campaign in lemlist, go to the Leads list tab, and click Import new leads. This opens the lead import wizard.
In the import wizard, choose CRM import, then select the saved HubSpot filter from the dropdown. This tells lemlist which HubSpot segment to sync into the campaign.
If needed, enable Automatically pause lead(s) in lemlist when they no longer match HubSpot filter. This is useful when you want lemlist to reflect changes made in HubSpot over time.
Phase 3: Review optional AI columns and enrichment
On the next step, choose any AI columns you want to generate, such as cleaning first names, extracting data, or creating copywriting and research fields. These are optional, but helpful if you want more personalization before launching outreach.
Then choose whether to enrich the imported leads with verified emails, phone numbers, LinkedIn profiles, or email verification. Turn on only the enrichments you need so you can manage credit usage efficiently.
Under Manage duplicates, pick how lemlist should handle leads that may already exist in a campaign. This helps avoid importing the same contact into multiple campaign states by mistake.
Which method should you choose?
Choose the HubSpot + Chrome extension method if you want a quick, manual push from inside HubSpot.
Choose the lemlist CRM import method if you want a repeatable process based on a saved HubSpot filter or segment.
Practical example
Here’s a simple way to use both options in real life:
Sales rep workflow: A rep filters a few high-priority contacts in HubSpot and pushes them directly with the Chrome extension for immediate outreach.
Team workflow: An ops or growth team creates a saved HubSpot segment such as Lifecycle stage = Lead and Contact owner = specific rep, then imports that segment from lemlist into a campaign with duplicate protection and optional enrichment.
Troubleshooting and common pitfalls
Issue: I can’t find my HubSpot audience in lemlist CRM import
Root cause: The filter was not saved as a HubSpot segment/view.
Fix:
Create the filter in HubSpot Contacts
Save it as a segment/view
Refresh the dropdown in lemlist and select it again
Issue: Leads stop matching the HubSpot filter later
Root cause: Contact properties changed in HubSpot after import.
Fix:
Use an Active HubSpot segment
Enable the option to automatically pause leads in lemlist when they no longer match
Issue: Duplicate leads appear in campaigns
Root cause: The same contact already exists in the current campaign or another campaign.
Fix:
Review duplicate handling during import
Choose the duplicate rule that matches your workflow
Test with a small segment first if you’re unsure
Issue: Some imported contacts are missing email or phone data
Root cause: HubSpot doesn’t have complete information for those contacts.
Fix:
Use lemlist enrichment options during import
Enable only the enrichments you need to control credit usage
Best practices
Use the Chrome extension for quick one-off imports.
Use saved HubSpot segments for repeatable campaign workflows.
Start with a small filtered group before importing a large list.
Review duplicate rules before confirming the import.
Only enable enrichment options when they add real value to the campaign.
