How to handle extern users

If you're here to know how to manage your extern users, you're in the right place!

1 - How to allow report access only to your extern users ?

First, one cool thing you can do when inviting an Extern is to allow them to have a passwordless login. Meaning, they'll be able to connect to lemlist with their email only to access campaigns' reports, make their lives (and yours) simpler.

To get this done, just tick the box "Allow passwordless login" below the form.

If you don't allow passwordless login, this user can only connect their email provider and/or Linkedin account, but they won't be able to log in to lemlist at all.

⚠️ Please note that only externs users with a seat access activated can have access to report view. If you're trying to invite an extern user that does not have a seat access, he will never be able to see the reporting. Report view is only accessible to the extern users that are senders of campaigns, hence those with an active paid seat.

2 - How will the invitation and linking process for your externs will work?

Once invited in their team, your externs will receive this email:

Once they click on the link to connect their email provider, they will go through several steps in that order:

1️⃣ Enter the verification code contained in the email as shown and circled in the previous screenshot.

2️⃣ They will be asked to connect their email provider:

πŸ’‘Note : if their email provider is already connected they'll be asked if they want to change it. If not they can choose no to go and to the next step aka linking their Linkedin account.

3️⃣ If they're in a team under the Sales Engagement Plan that allow Linkedin actions, they will be asked to download our Chrome Extension and link their Linkedin profile:

After downloading the chrome extension and opening it, they should see this:

If your client connects the wrong Linkedin account and need to change it, they can do so by unlink the current one from the chrome extension then they will be able to link the one they'd like instead:

The connection link is completely secured and last for 3 days.

If your client does not complete the procedure within those 3 days, the link dies and you have to re-sent a new one from your cockpit, I will show you how to that right after.

3 - How to use each buttons seen on your cockpit - team for your externs and what do they do?

  • Lock closed = externs won't have access to the reports of their campaigns.

  • Lock opened = externs have access to the reports of their campaigns.
