How to cancel your WhatsApp add-on or additional email slots

Remove unused WhatsApp seats or reduce additional email slots from Plans & Billing to stop being charged for capacity your team no longer needs.

You can manage and cancel both your WhatsApp add-on and your additional email slots from Settings in lemlist. This guide explains how to open Plans & billing, reduce seats or slots, and confirm the cancellation when needed.

Before you start

  • You should have admin or billing access in the workspace.

  • You should know whether any users are currently assigned to WhatsApp seats or using additional email slots.

  • For WhatsApp, the subscription is canceled only when the seat count is reduced to 0.

  • For additional emails, you can reduce the total number of slots to the amount your team still needs.


What to know before canceling

Important:

  • To cancel WhatsApp, you must reduce the number of WhatsApp seats to zero.

  • You can reduce additional email slots only if they are not currently needed by users.

  • Any unused amount is typically handled as prorated credit on a future invoice rather than a refund.

  • After canceling WhatsApp, your connected WhatsApp account will disconnect.

  • Campaigns containing WhatsApp steps may be blocked after the WhatsApp add-on is removed.


Core Lesson — Step-by-Step Workflow

Phase 1: Open Settings and Plans & billing

From your lemlist dashboard, click your profile photo in the bottom-left corner, select Settings, then open Plans & billing from the left sidebar.

On the Products tab, go to the Add-ons section and click Manage next to Add WhatsApp in your campaigns.

Phase 2: Cancel the WhatsApp subscription

  1. If any WhatsApp seats are still assigned, unassign them first. You won’t be able to complete the cancellation until the number of seats in use allows you to reduce the total to 0.

  2. In the WhatsApp seats window, use the minus button until the number of WhatsApp seats is 0, then click Confirm and pay to apply the change.

Phase 3: Cancel or reduce additional email slots

From Plans & billing, open the Users tab and click Upgrade in the Additional Emails section.

In the additional emails window, use the minus button to reduce the number of extra email slots to the quantity you want to keep. If you want to remove them completely, keep decreasing the number until no additional slots remain, then click Confirm.


What happens after cancellation?

If you cancel your WhatsApp add-on, the add-on is removed from your workspace, your connected WhatsApp account is disconnected, and campaigns using WhatsApp steps may stop working until the add-on is enabled again.

If you reduce or remove additional email slots, your billing is updated based on the new number of slots kept in the workspace.


Practical Example

If your team no longer needs WhatsApp outreach, go to SettingsPlans & billing, open the WhatsApp seats settings from the Products tab, reduce the seat count to 0, and confirm the change. If your team also no longer needs extra inbox capacity, go to the Users tab, open Additional Emails, reduce the number of additional email slots, and confirm the new total.


Troubleshooting & Pitfalls

Issue: You can’t reduce the number of WhatsApp seats

Root cause: One or more users are still assigned to active WhatsApp seats.

Fix:

  • Review which users currently have WhatsApp seats assigned.

  • Unassign or deactivate those seats first.

  • Return to the WhatsApp add-on settings and reduce the seat count to 0.

Issue: You can’t fully remove additional email slots

Root cause:Some of the slots may still be needed based on your current team setup or active usage.

Fix:

  • Check how many additional email slots are still in use.

  • Reduce the quantity only to the number your workspace can support.

  • Confirm the updated amount after adjusting the slot count.

Issue: The cancel option does not complete the WhatsApp process

Root cause: The seat count has not been reduced to zero.

Fix:

  • Open the WhatsApp add-on settings again.

  • Make sure the seat quantity shows 0.

  • Confirm the cancellation from the add-on window.

Issue: Campaigns stop working after WhatsApp cancellation

Root cause: Campaigns that include WhatsApp steps require an active WhatsApp add-on.

Fix:

  • Re-enable WhatsApp seats if you need to keep using WhatsApp in campaigns.
