Send email on behalf of another user

Learn how to send emails on behalf of someone else by setting up their email address as a sender.

Assign a campaign to send from a teammate's email or LinkedIn account. The teammate needs an active seat and a connected account. Takes about 5 minutes.

Why This Matters

Sending from the appropriate team member creates more authentic outreach and helps prevent any single account from hitting daily limits. Reply rates typically increase when messages come from the right person rather than a generic company address.


Step-by-Step Guide

Step 1: Make sure the teammate has an active seat

Only team members with an assigned active seat can send campaigns. If the teammate does not have a seat yet, assign one before continuing.

Step 2: Ensure their account is connected

The team member needs to connect their email or LinkedIn account before they can be selected as a sender.

Option A: The team member connects their own email

  • They should click on their name in the bottom-left corner, then select Settings.

    Open the profile menu and select Settings
  • In Sending settings, they should open the Email section and click Connect email address, then follow the prompts to finish the connection.

Option B: Connect an account from team sending settings

  • Go to Sending settings in the team settings area, then click Connect account on the teammate's row.

Step 3: Select the teammate as the sender in your campaign

Go to Campaigns, then open the campaign you want to send from your teammate.

In the campaign, click Sequence, then open the sender assignment dropdown and select the teammate as the sender.

Important: If you change the sender in the middle of an already launched campaign, leads can get stuck. To fix this, reassign the original sender — the sender that was selected before leads were launched.

Optional: Override the sender for a specific step

If you want a different teammate to send a particular step, open that step and enable the sender override for that step before selecting the sender.


How You'll Know It Worked

✅ The sender dropdown shows your teammate's name

✅ The campaign step is assigned to the correct sender

✅ Test emails arrive from the teammate's address


Troubleshooting

Issue: Teammate doesn't appear in sender dropdown

  • Verify they have an active seat

  • Check that their email or LinkedIn account is connected

  • Refresh the page. New senders may take 1-2 minutes to appear

Issue: "Email not connected" error

  • Go to SettingsSending settings and reconnect the email account

  • Some providers require periodic re-authentication

Issue: LinkedIn steps won't send

  • The team member must connect their LinkedIn account before it can be used

  • Have them check their sending or integration settings and reconnect if needed


Tips for Optimization

  • Match senders to lead segments

  • Use sender overrides strategically for authority escalation

  • For distributing volume across multiple senders, use inbox rotation instead
