Billing & Users: overview

Learn how to manage invoices, update billing details, change plans, add seats, and buy additional sending addresses from the Plans & Billing section.

TL;DR:

Use Billing & Users to manage your subscription, seats, credits, add-ons, invoices, payment method, currency, and billing details from one place. Takes about 5–10 minutes.


Who Should Use This

  • Admins who need to manage subscriptions, invoices, or billing details

  • Team owners who want to add/remove seats or review billing-related settings

  • If you’re not an Admin, you won’t have access to Billing & Users, ask an Admin on your team for help.

Note: Only users with an Admin role have access to the Billing & Users section.


Why This Matters

Billing & Users is where you control how you’re billed, where invoices are sent, and which seats and add-ons are active. Keeping this up to date prevents missed invoices, billing confusion, and issues when changing seat counts or plans.


Key Concept / Mental Model

  • Seats are paid user access for your current plan.

  • Add-ons are billed separately from your base subscription.

  • Credits and calling minutes are managed from the same billing area.

  • You can’t reduce the number of seats below the number of seats currently in use.


Step-by-Step Guide

1) Open Billing & Users

  1. In the bottom-left corner, click your profile, then select Settings

  2. Under Team settings, click Billing & Users to open the billing workspace

2) Manage your subscription

  1. In the Products tab, review your current plan and seat count in the Subscription section, then click Manage

  2. In the plan selector, choose your billing frequency with Monthly, Quarterly, or Yearly, and confirm the currency shown in the top-right corner

  3. Adjust the number of paying users with the - and + controls

  4. If you don’t want to apply the change, click Cancel

If you’re on a managed or custom plan, some plan changes may not be available directly in the billing modal.


3) Review credits and add-ons

  1. In the Products tab, use the Credits section to review your current credit balance and available credit-related purchases

  2. Scroll to Add new Add-ons to review add-ons you can purchase, such as enrichment-related options and domains or emails

4) Manage invoices

  1. Open the Billing Info tab, then click View all in the Invoices section

  2. Use the invoices list to review invoice IDs, due dates, status, products, and totals, then click the download icon next to the invoice you want

Note that issued invoices in lemlist are immutable due to legal and accounting requirements. This means that once an invoice is generated, its details, such as company name, address, or VAT number, cannot be changed retroactively. Ensure billing details are updated in advance to accurately reflect on future invoices.


5) Automatically send invoices to specific email address(es)

  1. In the Billing Info tab, click the edit icon in Send invoices to to add or update invoice recipient email addresses

6) Update your payment method

  1. In the Billing Info tab, click the edit icon in Payment methods

  2. Update the card details in the payment method window, then save your changes

7) Change billing currency

  1. In the Billing Info tab, click the edit icon in Currency to change the billing currency for future charges

8) Update billing information

  1. In the Billing Info tab, review your saved address and VAT details in Billing information, then use the edit icon to update them

Important Note: Updating billing information ensures that future invoices reflect the new details. Changes do not apply to invoices that were already issued.


How You’ll Know It Worked / Success Indicators

  • ✓ You can open the Billing Info tab and access your invoices.

  • ✓ Your invoice recipient email(s) appear under Send invoices to.

  • ✓ Your payment method, currency, and billing information show the latest saved values.

  • ✓ Your plan or seat changes appear in the Subscription section.


Troubleshooting / Pitfalls

Issue: I accidentally canceled my subscription

Root cause: You selected Cancel by mistake in the plan selector.

Fix:

  • Go back to Billing & Users and open Manage again from the Subscription section.

  • If cancellation is still pending, follow the on-screen option to restore or reactivate your subscription.

Issue: I can’t access Billing & Users
Root cause: You’re not an Admin on the team.
Fix:

  • Ask a team Admin to update your role or perform the billing change for you.

Issue: I can’t downgrade to fewer seats
Root cause: You can’t reduce seats below the number of seats currently in use.
Fix:

  • Reduce seat usage first, then try the downgrade again.

Example: If you pay for 101 seats and 57 are currently used, you can’t downgrade below 57 until seat usage drops below that number.


Billing / Pricing Notes (Refunds & Post-cancellation)

  • Auto-renewal charges generally can’t be refunded unless approved in exceptional cases by the support team.

  • Items like lemlist bought domains and emails are non-refundable due to contractual terms.

  • After cancellation, your subscription remains active until the end of your billing cycle if prepaid. Refund processing typically takes 1–10 business days, depending on your bank.

  • Unexpected charges may occur if you add seats or billable add-ons after making earlier billing changes.


VAT Handling Policies

  • VAT is applied based on the account's billing settings at the time of payment. If a VAT ID is added after an invoice is issued, it only applies to future invoices.

  • For VAT recovery on past invoices, utilize VAT returns to claim input VAT rather than seeking invoice adjustments.
