Prerequisites
Before creating tasks:
You have a campaign created with a sequence
You understand task types – Reply tasks, click tasks, manual tasks, call tasks
You're in the campaign Settings or Sequence editor
How Tasks Are Created Automatically
Tasks are automatically generated when your sequence reaches specific steps or when leads take certain actions.
Tasks created by sequence steps:
Call task – When a call step is reached in the sequence
Manual task – When a manual action step (e.g., LinkedIn comment) is reached
Tasks created by lead actions:
Reply task – When a prospect replies to your email
Click task – When a prospect clicks a link in your email
Method 1: Create Tasks from Lead Actions (Reply or Click)
Step 1: Open your campaign
From the left sidebar, click Campaigns, then select the campaign you want to edit.
Step 2: Go to campaign Settings
Click the ⚙️ icon to open your campaign settings.
Step 3: Enable task creation on reply or click
In General settings, enable the task creation options you need (for example, create a task when people reply by email/LinkedIn/WhatsApp and/or when they click a link).
Step 4: Save settings
Click Save to apply your changes.
Now, whenever a lead replies or clicks a link (based on what you enabled), a task is automatically created in the Tasks section.
Method 2: Add Manual Task or Call Steps to Your Sequence
Some actions require your personal touch, like calling a prospect or performing a LinkedIn action. Add manual task or call steps to your sequence to create task reminders.
Step 1: Go to your campaign Sequence
Navigate to your campaign → Sequence tab.
Step 2: Add a task step to the sequence
Click + to add a step, then choose the step type you want (for example, Call to create a call task).
Step 3: Configure and save the task step
Set the task details (like Task priority, who it’s assigned to, and any Notes), then click Save to add the task step to your sequence.
When leads reach this step, a task is automatically created in the Tasks section as a reminder for you to complete it.
Task Types Overview
Reply Task:
Created when a lead replies to your email
Reminds you to follow up with the response
Click Task:
Created when a lead clicks a link in your email
Signals high interest. Follow up immediately
Manual Task:
Created when the sequence reaches a manual action step
Reminds you to perform a specific action (LinkedIn comment, research, etc.)
Call Task:
Created when the sequence reaches a call step
Reminds you to call the prospect at the right time
Troubleshooting
Issue: Tasks aren't being created when leads reply or click
Fix:
Go to campaign Settings → General settings and verify task creation is enabled for replies/clicks
Check that leads are actually replying or clicking (review campaign analytics)
Ensure the campaign is active and sending emails
Check if the custom tracking domain is set up and configured correctly
Issue: The manual task or call task isn't appearing in the Tasks section
Fix:
Verify the sequence step is correctly added (Manual Task or Call Task)
Check that leads have reached that step in the sequence (review lead status in campaign)
Refresh the Tasks section to see newly created tasks
Issue: Too many tasks are being created
Fix:
Review your task creation settings. You may have enabled tasks for every link click when only specific links should trigger tasks
Adjust settings to create tasks only for high-value actions (e.g., "Book a meeting" link clicks, not generic link clicks)
Optimization Tips
Enable reply tasks for all campaigns: This ensures you never miss a response, especially in high-volume campaigns.
Use specific link click tasks for key CTAs: Don't create tasks for every link click. Target only high-intent actions like "Book a demo" or "Download case study."
Add manual tasks strategically: Place manual task steps after leads show engagement (e.g., after they click a link or view your email 3 times).
Schedule call tasks at optimal times: Add call tasks 2-3 days after initial contact, giving leads time to review your message before you call.
Review task backlog daily: Set aside time each day to work through tasks. A growing backlog defeats the purpose of task management.
Use task notes for context: When creating manual or call tasks, add detailed notes so you (or team members) have context when executing the task.
Assign tasks to team members: If working with a team, assign tasks to specific people based on expertise or territory.
