Save a schedule as a template

Learn how to create, save, and use schedule templates to streamline your campaigns and boost efficiency!

By the end of this guide, you'll know how to save your proven schedule configurations as templates, apply them to new campaigns instantly, and manage your schedule template library.

Why This Matters

Once you've found a schedule that works, timezone, days, hours, and sending speed, you don't want to rebuild it for every campaign. Templates eliminate repetitive configuration, ensure consistency across campaigns, and let your team share proven schedules. Setting up a schedule from scratch takes 3-5 minutes; applying a template takes 10 seconds.

Prerequisites

Before you start:

  • A schedule configuration you want to save (either existing in a campaign or a new one you'll create)

  • Understanding of schedule components (timezone, days/hours, sending speed)

Two Ways to Create Schedule Templates

You can create schedule templates from two locations:

Option 1: Templates section (start fresh)

  • Best for: Creating new schedule templates from scratch

  • Creates: A template without attaching it to any campaign

Option 2: Campaign settings (save existing)

  • Best for: Saving a schedule already working in a campaign

  • Creates: A template from a proven configuration

Both methods produce the same reusable template.

Step-by-Step Guide

Method 1: Create a Template from the Templates Section

Step 1: Navigate to Templates

Click your profile/workspace name in the bottom-left, then select Templates.

Step 2: Open Schedules and start a new template

In Templates, open the Schedules tab, then click Create new template.

Step 3: Name your template

Give it a descriptive name that indicates:

  • Geographic region (e.g., "US East Coast")

  • Campaign type (e.g., "B2B Enterprise")

  • Time strategy (e.g., "Conservative Hours")

Examples:

  • "US EST 9-5 Weekdays"

  • "EU Business Hours CET"

  • "Aggressive West Coast 8-6"

Enter the name, then click Confirm.

Tip: Descriptive names help your team find the right template quickly when you have 10+ saved schedules.

Step 4: Configure schedule settings

Set all schedule parameters:

  • Timezone: Select the appropriate timezone for your target audience

  • Days: Check which days to send (typically Monday-Friday)

  • Hours: Set start and end time (e.g., 9:00 AM - 5:00 PM)

  • Sending speed: Set minute intervals between new leads (recommended: 15-20 minutes)

Your changes are saved to the template as you configure it.

Method 2: Save from Existing Campaign

Step 1: Open campaign settings

Go to Campaigns, and select the campaign you want to work on.

Click the Settings (gear) icon, then select Schedules & launch.

Step 2: Create a new schedule

Click Create a new schedule, it will open the schedule configuration panel.

Configure timezone, days, hours, and sending speed, then click Add this schedule to apply it to the campaign.

Step 3: Save as template

Click the three dots (⋮) next to the schedule, then select Save as template.

Step 4: Confirm template saved

The schedule is now saved as a template and will appear in the Templates section and under Team templates in other campaigns.

Applying Saved Templates to Campaigns

Once you have templates saved, here's how to use them:

Step 1: Open campaign settings

Open the campaign → click the Settings (gear) icon → select Schedules & launch.

Step 2: Select template

Under Team templates, find the template you want to use, click the three dots (⋮), then select Use this template.

Step 3: Verify application

The schedule appears under Your campaign schedules and all settings (timezone, days, hours, speed) are pre-configured.

Success indicator: The schedule shows in active schedules with your template settings intact.

Managing Schedule Templates

There are two ways to manage schedules: from the template library or directly from a campaign.

Option 1: Manage schedules from the template library

Step 1: Open the Schedules template library

Click your profile/workspace name in the bottom-left, then select Templates.

In Templates, open the Schedules tab.

Edit a schedule template

  • Select the schedule template from the list, then update the settings (timezone, days, hours, sending speed).

  • Changes apply to future uses (not existing campaigns already using it).

Delete a schedule template

  • Select the schedule template from the list.

  • Click the trash icon, then click Confirm.

  • Existing campaigns using this schedule are unaffected.

Option 2: Manage schedules from inside a campaign

Step 1: Open your campaign schedule settings

Open the campaign, then click the Settings (gear) icon and go to Schedules & launch.

Step 2: Edit a campaign schedule

Under Your campaign schedules, click the three dots (⋮) next to the schedule and select Modify this schedule.

Step 3: Save or delete a campaign schedule

In Your campaign schedules, click the three dots (⋮) next to the schedule to open the menu.

Select Save as template if you want to add it to your template library.

Or select Delete this schedule to remove it from the campaign.

Practical Application

Example: Building a template library for multi-region team

Your team runs campaigns in three regions:

Template 1: "US East Coast - Standard"

  • Timezone: EST

  • Days: Monday-Friday

  • Hours: 9am-5pm

  • Speed: 20 minutes

  • Use for: US East Coast prospects

Template 2: "US West Coast - Standard"

  • Timezone: PST

  • Days: Monday-Friday

  • Hours: 9am-5pm

  • Speed: 20 minutes

  • Use for: US West Coast prospects

Template 3: "EU Central - Business Hours"

  • Timezone: CET

  • Days: Monday-Friday

  • Hours: 9am-5pm

  • Speed: 20 minutes

  • Use for: European prospects

Template 4: "Aggressive - Extended Hours"

  • Timezone: EST

  • Days: Monday-Friday

  • Hours: 8am-6pm

  • Speed: 15 minutes

  • Use for: High-volume campaigns

Result: Team members select the appropriate template when creating campaigns instead of manually configuring timezone and hours every time.

Troubleshooting

Issue: Template settings don't match what I saved

Root cause: Template was edited after you last checked, or you're viewing a different template with a similar name

Fix: Open Templates → Schedules to verify current settings. Consider more descriptive names to avoid confusion (add a date or version number if needed).

Issue: Applied template, but emails are being sent outside the schedule

Root cause: Template applied correctly, but leads already in the campaign have different send times from before the template was applied

Fix: New leads will follow the new template. Existing leads continue with their original schedule. To reset: pause campaign, change schedule, resume. Or wait for the current leads to complete and the new batch will use the template.

Issue: Can't save as a template from the campaign

Root cause: Schedule must be added to the campaign before it can be saved as a template

Fix: First click Add this schedule to apply it to the campaign, then use the three-dot menu to save as a template.

Optimization Tips

Use descriptive naming conventions - Include timezone, hours, and use case in name (e.g., "EST_9-5_Weekdays_Enterprise" not just "Schedule 1")

Create templates after testing - Run a schedule in a campaign for 1-2 weeks to verify performance before saving as template. Don't template unproven schedules.

Build a starter kit - Create 3-5 core templates covering common scenarios (Standard B2B, Conservative Enterprise, Aggressive SMB, EU hours, APAC hours). New team members start with proven configurations.

Version your templates - When updating a popular template, create a new version instead of editing (e.g., "US EST 9-5 v2"). Teams can migrate gradually rather than sudden changes.

Document use cases - In team docs, note which template to use for which campaign type. Prevents confusion when you have 10+ templates.

Archive old templates - Delete templates no longer used to keep the library clean. Too many options creates decision paralysis.

Share with team - Templates are automatically visible to teammates. When you create a high-performing schedule, save it as a template so others can benefit from your testing.
