Manage tasks effectively

Want to save time and stay on top of your multichannel sequences? The Tasks section is designed to help you do just that.

By the end of this guide, you'll know how to access and use the Tasks section, understand how tasks are automatically created from sequences, create standalone tasks, use bulk actions to manage multiple tasks efficiently, and view task history to track completed and ignored activities.

Why This Matters

Manual actions, calls, LinkedIn comments, and follow-ups are critical to outreach success but easy to lose track of. The Tasks section centralizes all these actions in one place, ensuring you never miss a follow-up and can prioritize high-value activities.

Without organized task management:

  • Prospects fall through the cracks

  • Follow-ups get delayed

  • Team coordination suffers

With lemlist's Tasks section:

  • All actions are visible and prioritized

  • Tasks sync automatically with your sequences

  • You can manage everything in one dashboard

Prerequisites

Before using the Tasks section:

  • You have campaigns with sequences running that include manual tasks, calls, or conditional triggers

  • You understand task types – Email, LinkedIn, calls, WhatsApp, and manual tasks

Where to Find the Tasks Section

Go to the Main Menu on the left-hand side of your lemlist dashboard, then click Tasks.

What Is the Tasks Section For?

The Tasks section gathers all actions needed to continue your sequences, including:

Calls – Scheduled calls to prospects

Manual tasks – Actions like LinkedIn comments, personalized follow-ups

Integration-triggered tasks – Tasks linked to lead actions (clicks, replies)

You can filter and view tasks by:

✔️ All tasks

✔️ Channel (Calls, Emails, LinkedIn, WhatsApp, Manual)

✔️ Time/status (Due, Upcoming, Ignored, Done)

✔️ Detailed filters (via the Filters button)

Use the channel tabs at the top to switch between task types (All, Calls, Emails, LinkedIn, WhatsApp, Manual).

How Tasks Are Created

Automatically from Sequences

Tasks are generated automatically when your sequence reaches a step that requires a manual action.

To see (and edit) a manual task step, open Campaigns from the left menu and select the campaign you want to edit.

In the sequence builder, click the Manual task step to open its settings.

From the manual task settings, define who the task is assigned to, add a title, and include any notes or instructions needed to complete the task.

Triggered by Lead Actions

Some sequences can also create tasks based on lead activity (for example: when a prospect engages). Configure these triggers directly in your sequence steps so tasks appear at the right time for follow-up.

Create Standalone Tasks

You can create a task even if it's not linked to a campaign or existing contact. This is useful for quick follow-ups, call reminders, or LinkedIn actions based on limited info.

Step 1: Open the task creation modal

From the left menu, go to Tasks, then click Create task.

Step 2: Choose the task type and core settings

In Create new task, set the Task type, pick an Associated record (if needed), set the Owner, choose a Priority, and set the Due date & time.

Step 3: Add the task content and create it

Fill in the Title and Instruction, then click Create task.

Choose Whether to Engage with a Task

You have full control to complete a task or ignore it if it's no longer relevant. This keeps your task list clean and your reporting accurate.

When working inside a task, you can click Mark as done to complete it.

If you don’t want to do it, choose Ignore task.

Bulk Actions

Manage multiple tasks at once using bulk actions.

Step 1: Select multiple tasks and apply an action

Use the checkboxes to select tasks. Then use the bulk action bar to Mark as done, Ignore, Reschedule, Change owner, or Set priority.

View Task History

You can view previously processed tasks directly in the Task Manager, including tasks you’ve completed and tasks you’ve ignored.

Access history:

Go to Tasks, open the Due status filter, then select the statuses you want to display (for example, Ignored and Done).

Troubleshooting

Issue: Tasks aren't being created from my sequence

Fix:

  • Verify the sequence includes a step that creates a task (for example, a Manual task step)

  • Check that the campaign is active and leads have reached that step

  • Open the manual task step and confirm it’s properly configured (assignee/title/notes)

Issue: Can't create a standalone task

Fix:

  • Ensure you're creating it from TasksCreate task

  • Refresh the page and try again

Issue: Bulk actions aren't working

Fix:

  • Ensure you've selected at least one task (checkboxes checked)

  • Check if the tasks are in a status that allows the action you chose

Optimization Tips

Review tasks daily: Set aside 15–30 minutes each morning to review and prioritize tasks. Focus on due tasks first.

Use filters strategically: Filter by channel (LinkedIn, calls) to batch similar tasks together for efficiency.

Create SOPs for task types: Document how to handle each task type (calls, LinkedIn comments, manual emails) so team members execute consistently.

Use bulk actions for recurring patterns: If you have many tasks that all need the same action (e.g., ignore old tasks), use bulk actions instead of one-by-one.

Track completed tasks for reporting: Review Done tasks to analyze team productivity and campaign effectiveness.

Assign tasks to team members: Use task ownership to distribute work across your team and prevent bottlenecks.

Set reminders: Use task due dates to ensure time-sensitive follow-ups don't get missed.
