HubSpot Fields: Data Not Being Retrieved

Trouble with HubSpot Fields? Data retrieval giving you a headache? Let us help!

Updated over 8 months ago

Well hello there, it's been a while. πŸ˜‰

Struggling with data flow between lemlist and HubSpot? No need to worry, we've got you covered.

Explore these common scenarios and their troubleshooting solutions:

πŸ‘‰ From lemlist to Hubspot:

If you're starting with lemlist (from lemlist to HubSpot) and have the option to create leads in the CRM activated, here's what you need to know.

πŸ‘‰ If you're importing my leads from Linkedin or Sales Navigator through the Chrome extension:

In that case, the fields scrapped from Linkedin are known to us, so those fields should be automatically created in Hubspot.

If you cannot find them, make sure that you have added them to your contact list.

Here's how to do so:

  1. Go to your Hubspot, to "Contacts" and click on the list concerned:

2. Click on "Actions" and select "Edit Columns":

3. Inside the opened sub-window, locate the search bar, click on it, and enter the keyword "lemlist"

All the fields created by lemlist will be displayed here.

You just have to select the ones you want to add to your list to be able to see them reflected as columns in the selected list.

If needed, you can also opt to include them in all of your contact lists, and then simply save your choices. πŸŽ‰

πŸ‘‰ If you're importing your leads from another source: CSV, manually, by API etc.

In that case, the fields you're importing are not known to us.

Since the fields are unknown to us, it's essential to create those fields on Hubspot side. This allows us to map the data and push it to Hubspot by prefixing the fields with the term "lemlist".

πŸ’‘ Let me give you a quick example:

  1. I want to import a CSV with a column (field) named DataSource.

  2. If I want this field to be mapped and populated with data in Hubspot I need to create a custom field in Hubspot and prefix it with the word lemlist.

  3. So the field in Hubspot should be named lemlistDataSource.

The field needs to be created in the Contact section as shown below:

Once that is done, the data imported in lemlist will be mapped in your custom fields in Hubspot. πŸ₯³

πŸ‘‰ In case I import my leads directly from Hubspot

Here are the variables that lemlist will retrieve from HubSpot by default:

  • First name

  • Company name

  • Last name

  • Email

  • Phone number

  • Mobile phone number

  • Country/Region

  • State/Region

  • City

  • Job title

  • Salutation

  • Gender

  • Website URL

Any other custom variables created by the user can all be imported as long as they are in the contact section.

πŸ›‘ It's crucial to note that for the "linkedinUrl" variable, you must create and label it exactly as "linkedinUrl" in order for lemlist to successfully map and extract the information.

To put it simply, if you don't name the variable "linkedinUrl" exactly as specified, it won't work as intended.

How do I create my custom variable in Hubspot?

Here's how:

You can create your custom variable "My_awesome_variable" in Hubspot and the variable will appear in lemlist.ο»Ώ

Then you can choose the single row or multiple-row option:

Make sure you don't exceed 400 characters in a multiple-line field.

At the end, click on "Create" at the bottom of the page.

Then you can use this new custom variable on your leads.

Here you can check out the complete import process from Hubspot and how to make sure your custom variables will be shown in the lemlist campaign:

πŸ’‘ It's really important that you make sure to add as columns in your list, the fields that you want imported in your lemlist campaign.

For example in the screenshot below, if I had not added the field "STATE/REGION" as a column in my list, it would not be pulled in my lemlist campaign:

That's it, you should be prepared for all eventualities there!
