Why This Matters

Scheduling launches lets you prepare campaigns in advance without sending immediately. Launch campaigns to coincide with product releases, events, or optimal timing windows. It also prevents accidental immediate sends when you're still reviewing leads or waiting for approvals.


Step-by-Step Guide

Schedule Bulk Launch (All Leads)

Step 1: Go to the campaign

Go to Campaigns and open the campaign you want to schedule.

Step 2: Open Launch and choose Schedule launch

In the campaign, click Launch, then click the arrow next to Launch for x leads and select Schedule launch.

Step 3: Choose date and time

Select the date you want leads to enter the campaign, choose the time, then click Schedule.

Verify: Scheduled leads move from To launch to Launched with a Scheduled status.


Schedule Individual Leads

Step 4: Select specific leads

Check the boxes next to the leads you want to schedule, then click the arrow next to Launch for x leads.

Choose Schedule launch.

Step 5: Set the schedule

Choose the date and time for those selected leads, then confirm the schedule.

The selected leads move to Launched with a scheduled status.

💡 Use case: Schedule high-priority leads for immediate launch and lower-priority leads for next week.


Check Scheduled Launch Times

Step 6: View scheduled times

Go to the Launched section.

Hover over the Scheduled note next to any lead.

A tooltip displays the exact date and time the lead will launch.

💡 Tip: Review scheduled leads before the launch time to make any last-minute changes.


Unschedule a Launch

Step 7: Unschedule if plans change

If you need to cancel or reschedule, click the three-dot menu (⋮) next to the lead.

Select Unschedule launch.

The lead returns to To launch status immediately.

⚠️ Note: No confirmation popup appears, unscheduling happens instantly.

Step 8: Bulk unschedule (multiple leads)

Select multiple scheduled leads using checkboxes.

Click the three-dot menu at the top → Unschedule launch.

All selected leads return to To launch.


How You'll Know It Worked

✅ Leads show Scheduled status in the Launched section

✅ Hover tooltip displays the correct launch date and time

✅ Leads don't send immediately and wait until the scheduled time

✅ Campaign starts sending at the scheduled time


Understanding Campaign Statuses

After scheduling, leads progress through these statuses:

Scheduled: Waiting for the scheduled launch time to arrive

Ready to Send: Scheduled time passed, waiting for the next sending window

In Progress: Actively receiving sequence steps

Paused: Manually paused mid-sequence

Completed: Finished all sequence steps

Troubleshooting

Issue: Scheduled leads didn't launch at the set time

Fix: Check that the campaign isn't paused at the campaign level. Verify the sender's email account is still connected. Ensure the scheduled time falls within your campaign's sending window settings.

Issue: Can't find scheduled leads

Fix: Go to the Launched section, not To launch. Filter by status Scheduled to see only scheduled leads. Check that you're in the right campaign.

Issue: Unscheduled accidentally

Fix: Go back to To launch and reschedule the leads. There's no undo for unscheduling, but rescheduling is quick.

Issue: Scheduled time already passed but leads haven't sent

Fix: Leads move to Ready to Send and will send during the next available sending window. Check SettingsSchedule to see sending window hours. If it's outside the window, they'll send when it opens.


Tips for Optimization

Schedule during working hours - Launch campaigns Tuesday-Thursday mornings when prospects are most likely to engage, and avoid Monday mornings and Friday afternoons.

Account for time zones - If targeting multiple regions, schedule launches with prospect time zones in mind. Your sending schedule handles actual delivery timing.

Build in review time - Schedule launches 1-2 days out to give yourself time for final reviews without the pressure of immediate sending.

Double-check configurations such as scheduled launch dates and times, time zone settings, and any step delays to ensure a seamless launch process.

Use for testing - Schedule test batches of 10-20 leads for early morning, then schedule the remaining leads for later in the day after you've verified success.

Coordinate with team - Share scheduled launch dates with your team so they're prepared for replies and follow-ups.
