Archive and unarchive teams

When you manage multiple teams in lemlist (for example, different clients, regions, or brands), archiving helps you organize teams you’re not actively using while keeping your workspace clean and easy to navigate. You can unarchive the team later and pick up where you left off.

By the end of this tutorial, you’ll know how to archive a team, how to view archived teams, and how to unarchive a team, plus how to avoid unnecessary billing before you archive.


Why this matters

Archiving keeps your team list tidy and reduces mistakes when switching between teams. It’s especially useful for agencies and admins who rotate between many teams over time.


Prerequisites

  • You have access to Billing & Users for the workspace.

  • If you’re aiming to stop paying for that team, you should cancel the subscription first (see notes below).


Phase 1: Open Billing & Users

  1. Click your profile in the bottom-left corner, then select Settings.

  2. In Settings, open Billing & Users. Then use the team switcher in the top-right to choose the workspace you want to manage, and click the three-dot menu next to the team you want to archive.

Phase 2: Archive a team

From the team menu, select Archive.

What happens when you archive? The team is moved out of the active teams list, but it’s not deleted. Data and settings remain available if you unarchive later.


Important billing note (read before archiving)

Archiving a team is not the same as canceling its subscription. If your goal is to stop being billed for that team, make sure you cancel the subscription first in Billing & Users before archiving, otherwise you may continue to be charged unnecessarily.


Phase 3: View archived teams and Unarchive

Open the team switcher again. In the Archived section, click the three-dot menu next to the archived team, then select Unarchive.

Practical example: When to archive vs. keep active

  • Archive a team when a client project is on hold, a seasonal campaign is finished, or you want to reduce noise in your team list while keeping everything for later.

  • Keep a team active if you still need quick access for reporting, ongoing inbox monitoring, or frequent user management.


Troubleshooting & common pitfalls

  • “I archived the team but I’m still being billed.”
    Cause: Archiving doesn’t cancel subscriptions.
    Fix: Cancel the team’s subscription in Billing & Users first, then archive to keep your team list organized.

  • “I can’t find my archived team.”
    Cause: Archived teams are no longer listed with active teams.
    Fix: Open the team switcher in Billing & Users and check the Archived section.

  • “Will archiving delete the team or its data?”
    Answer: No. Archiving is not deletion. You can unarchive later to restore access.
