Why This Matters

Task assignment distributes workload across your team, ensuring the right person handles each follow-up. Without assignment:

  • Tasks pile up on one person

  • Skills aren't leveraged effectively

  • Follow-ups get delayed

With task assignment:

  • Balance workload – Distribute tasks evenly across team members

  • Match expertise – Assign calls to closers, LinkedIn tasks to SDRs

  • Improve accountability – Clear ownership of each task

  • Coordinate better – Everyone knows what they're responsible for

Prerequisites

Before assigning tasks:

  • You have team members in your lemlist workspace

  • Tasks exist in the Tasks section (from campaigns or manually created)

  • You have permission to assign tasks (some roles may be restricted)

Core Lesson: Assign a Task

Step 1: Go to the Tasks section and view the task list

Click Tasks from the left menu to open the task list (showing tasks from all campaigns and sources).

Step 2: Select the task(s) to assign and click Change owner

Select the checkbox next to the task you want to assign, then click Change owner in the bottom action bar.

Step 3: Choose the teammate

From the list, select the team member you want to assign the task to.

Step 4: Confirm assignment

The task is now assigned to the selected teammate.

They'll see it in their Tasks section and can complete it.

When to Assign Tasks

Assign to SDRs:

  • LinkedIn connection requests

  • LinkedIn message follow-ups

  • Initial qualification calls

Assign to Account Executives:

  • Demo calls

  • Proposal follow-ups

  • Contract discussions

Assign to Customer Success:

  • Onboarding tasks

  • Check-in calls

  • Renewal reminders

Assign by territory:

  • Assign leads from specific regions to reps covering those areas

Assign by language:

  • Assign tasks to team members who speak the lead's language

Troubleshooting

Issue: Can't see team members when changing the owner

Fix:

  • Verify team members are added to your lemlist workspace (Settings → Team)

  • Verify that the desired teammate has an active seat access

  • Check that you have permission to assign tasks to others

  • Refresh the page and try again

Issue: Task doesn't appear in the assigned teammate's Tasks section

Fix:

  • Confirm the change was saved by reopening the task list and verifying the correct person owns it

  • Ask the teammate to refresh their Tasks section

  • Verify the teammate is logged into the correct lemlist workspace

Issue: Need to reassign a task

Fix:

  • Select the task again from the Tasks list

  • Click Change owner

  • Select a different team member (or select yourself to take it back)

Optimization Tips

Create assignment rules: Document which types of tasks go to which team members (e.g., all call tasks to AEs, all LinkedIn tasks to SDRs).

Review task assignments daily: Managers should check task distribution to ensure workload is balanced across the team.

Use bulk assignment (if available): If you need to assign multiple similar tasks, select multiple tasks and use Change owner to assign them at once.

Notify teammates: When assigning high-priority tasks, send a quick Slack message or email to the teammate so they know to check their Tasks section.

Track completion rates: Monitor which team members complete tasks on time and which need support or training.

Reassign stale tasks: If a task sits unassigned or incomplete for too long, reassign it to ensure follow-up happens.

Combine with campaigns: When creating campaigns, pre-assign sequences to specific team members so tasks auto-assign to the right person.
