TL;DR
Remove seats by downgrading lemwarm FIRST, then lemlist. Go to Plans & Billing, click Manage Plan, adjust seat count, and click Update. Downgrading lemlist first triggers immediate lemwarm charges. lemwarm and lemlist seat downgrades apply at the end of the current billing period, while Email tier upgrades take effect immediately. Takes 5 minutes.
Who Should Use This
Team admins reducing team size
Agencies offboarding clients or contractors
Businesses scaling down outreach operations
Anyone looking to reduce monthly billing costs or change Email tier limits
Why This Matters
The order you downgrade matters. Downgrading lemlist before lemwarm triggers immediate billing for lemwarm because the system links lemwarm billing to lemlist's current seat count.
Following the correct order (lemwarm first, then lemlist) prevents unexpected charges. It's also important to understand that seat downgrades, Email tier downgrades, and Email tier upgrades do not follow the same billing logic.
Step 1: Remove Seats from lemwarm (Do This FIRST)
Go to Plans & Billing (click your workspace name in the bottom-left, then select Plans & billing)
Under the lemwarm section, click Manage plan
Adjust the seat count to your desired number, then click Update
Step 2: Remove Seats from lemlist
Stay in Plans & Billing
Under the lemlist section, click Manage plan
Adjust the seat count, then click Update. The current lemlist plan names are Email and Multichannel.
Understanding Billing Logic
Seat downgrades: When you remove seats from lemwarm or lemlist, the change takes effect at the end of the current billing period. No pro-rata refund is issued. You keep access to the current seat allocation until renewal.
Email tier upgrades: If you upgrade to a higher Email tier, the change takes effect immediately so you can use the higher sending limit right away. You are charged the full amount of the new tier minus the pro-rata value of the unused days from the previous tier. Your billing anniversary date resets to the day the upgrade is processed, and your sending limit counter resets to 0 / new limit even if part of the previous limit was already used.
Email tier downgrades: If you downgrade to a lower Email tier, the change takes effect at the end of the current billing period. No pro-rata calculation or partial refund is applied, and you keep access to your current tier until the cycle ends.
Restrictions and Special Cases
⚠️ Do NOT downgrade lemlist before lemwarm. If you downgrade lemlist first, the system will immediately charge you for lemwarm because lemwarm's billing is linked to lemlist's current seat count. You'll receive a warning pop-up, but the charge will still process.
Cross-grades require a workaround: Direct upgrades or downgrades between Multichannel and Email plans are not available — the button will be greyed out. There are two options: Option 1 – New team (recommended): We create a new team on the plan you want and migrate your email campaigns. You'd need to manually move over contacts, companies, and unsubscribed lists. Option 2 – Stay on current team: Contact support to escalate to Finance. They'll handle the switch — applying a credit for unused time and adjusting billing accordingly. If the credit doesn't cover the full amount, the difference is charged to your payment method. Whichever option you choose, the new plan starts a fresh 30-day billing cycle immediately — unused days don't carry over.
Legacy plans are also restricted: Legacy offers such as Outreach Scale, Email Starter, and similar older plans cannot switch tiers directly. The same two options apply: create a new team (recommended), or contact support to have Finance handle the switch with a billing credit.
Always verify your subscription type (monthly, quarterly, or yearly) before making changes so you understand when updates will apply.
