Stop Campaign for Leads when a Meeting is Booked

Discover How to Halt Outreach to Leads Who've Booked Meetings

Updated this week

When running email campaigns with lemlist, one of the most effective Call-to-Actions (CTAs) is encouraging leads to schedule a meeting directly on your calendar. 🗓️ This simple strategy not only boosts conversions but also keeps your pipeline organized and efficient.

Here’s how you can seamlessly integrate your calendar with lemlist, whether you're using lemcal, Zapier, or other tools.

Option 1: For Lemcal Users

If you're using lemcal, the setup is a breeze!

By default, lemlist also stops campaigns for leads who reply to any campaign email, ensuring you avoid redundant follow-ups and maintain a streamlined approach.

  • Adjust your campaign settings so that the moment a lead successfully books a meeting, the campaign stops for that lead. This ensures a smooth workflow and avoids unnecessary follow-ups. ✅

Option 2: Without Zapier (Manual Integration)

For non-lemcal users, you can use lemlist’s built-in feature to pause a campaign when someone clicks a specific link. However, keep in mind that some leads might click your Calendly link without completing the booking. Distractions happen, and this approach might not capture all scheduled meetings accurately.

It's important to note that campaigns in lemlist are limited to pausing based on actions within the same campaign, and cross-campaign automation isn't supported directly.

Option 3: Using Zapier for Seamless Automation

With Zapier, you can take automation to the next level and ensure campaigns stop only when a meeting is actually booked. This eliminates false positives and keeps your campaigns laser-focused.

Beyond meeting bookings, lemlist also halts campaigns for leads who reply directly to messages, helping to focus on engaged prospects and reduce unnecessary outreach.

How to Set It Up:

  1. Log in to Zapier and click "Make a Zap!"

  2. Select Calendly as your first app and choose your trigger event (e.g., a confirmed meeting).

  3. Choose lemlist as your second app. (Need help? Check out the how to connect lemlist to Zapier guide).

  4. Customize the action to stop campaigns for booked leads.

  5. Test the Zap to ensure it’s working perfectly.

  6. Activate your Zap, and you’re good to go! 🎉

Take Control of Your Sales Pipeline

Integrating your calendar with lemlist campaigns helps you focus on leads who are ready to talk, saving you time and boosting your success rate.

Additionally, use the "Duplicate Handling" feature during lead imports to ensure that no lead is added to multiple campaigns simultaneously. This keeps your campaigns clean and prevents redundant messaging. Also, remember that cross-campaign automation isn't currently available, so manual oversight is needed to ensure leads aren't overloaded with messages. Leveraging tools like Zapier can further optimize these processes and streamline campaign management.
