Auto‑BCC emails to any CRM

Learn how to seamlessly integrate most CRM systems with lemlist.

By the end of this guide, you'll know how to set up auto BCC in lemlist to automatically forward all sent emails to your CRM, find your CRM's BCC email address, and configure BCC for multiple team members.

Why This Matters

Most CRMs (Salesforce, HubSpot, Pipedrive, etc.) can automatically log emails sent to a special BCC address. Without this setup:

  • Emails sent from lemlist don't appear in your CRM

  • Sales reps manually forward emails or copy-paste them into CRM records

  • Activity tracking is incomplete and inconsistent

Setting up auto BCC:

  • Automatically logs all lemlist emails in your CRM

  • Eliminates manual data entry – No copy-pasting emails

  • Keeps CRM activity complete – Every sent email is tracked

  • Works with any CRM that supports BCC email logging

Prerequisites

Before setting up auto BCC:

  • You have a CRM account (Salesforce, HubSpot, Pipedrive, or any CRM that supports BCC email logging)

  • You know how to find your CRM's BCC email address (we'll show you where to look)

  • You have admin access in lemlist to configure BCC settings

Step 1: Find Your CRM's BCC Email Address

Every CRM that supports BCC logging provides a unique email address for this purpose. Here's where to find it in common CRMs:

Salesforce

  1. Go to SetupEmail to Salesforce

  2. Find your Email to Salesforce Address (looks like [email protected])

  3. Copy this address

HubSpot

  1. Go to SettingsGeneralEmail

  2. Find Log emails in the CRM

  3. Copy the BCC address (looks like [email protected] with a unique identifier)

Pipedrive

  1. Go to Personal PreferencesEmail Sync

  2. Find your BCC email address (looks like [email protected])

  3. Copy this address

Other CRMs

Most CRMs that support BCC logging provide this address in:

  • SettingsEmail or Email Integration

  • Personal PreferencesEmail Sync

  • AdminEmail to CRM

Search your CRM's documentation for "BCC email address" or "Email to CRM" to find it.

Step 2: Configure Auto BCC in lemlist

  1. Click your profile/name (bottom-left corner), then select Settings

  2. From the left sidebar, click Integrations, then scroll down to the BCC section, paste your CRM’s BCC email address into the BCC email address field, and click Confirm

Step 3: Configure for Multiple Team Members (if applicable)

⚠️ Important: BCC setup is user-specific. Each team member must configure their own BCC address.

If your team has 5 members:

  • Each person logs into their lemlist account

  • Each person follows Step 2 to add their CRM's BCC address

  • This ensures all emails from all team members sync to the CRM

💡 Tip: Some CRMs provide the same BCC address for all users, while others (like Salesforce) provide unique addresses per user. Check your CRM's documentation.

How You'll Know It Worked

To test:

  1. Send a test email from a lemlist campaign

  2. Check the recipient's CRM record

  3. Verify the email appears in their activity timeline

Troubleshooting

Issue: Emails aren't appearing in CRM

Root cause: Wrong BCC address, BCC not enabled in CRM, or CRM sync delay.

Fix:

  • Double-check the BCC address in lemlist matches your CRM exactly (no typos, extra spaces)

  • Verify BCC email logging is enabled in your CRM (check CRM settings)

  • Wait 5–10 minutes—some CRMs have a delay before emails appear

  • Send a test email directly to the BCC address from your regular email client to verify it works

Issue: Some emails appear in CRM, but not all

Root cause: BCC address may have been entered incorrectly after some emails were sent, or CRM has sync issues.

Fix:

  • Verify the BCC address is still correct in lemlist SettingsIntegrations

  • Check if your CRM has any email logging limits or quotas

  • Review CRM sync logs (if available) for errors

Issue: Emails appear in CRM but aren't linked to the correct contact

Root cause: CRM may not recognize the recipient's email address or can't match it to an existing contact.

Fix:

  • Ensure the recipient exists in your CRM before sending emails

  • Check your CRM's email matching rules (some CRMs require exact email matches)

  • Manually link the email to the correct contact in your CRM if needed

Issue: Team members' emails aren't syncing

Root cause: Each team member must configure BCC individually—it's not a workspace-wide setting.

Fix:

  • Ask each team member to log into their lemlist account

  • Have them follow Step 2 to add their own BCC address

  • Verify each person's BCC address is correct for their CRM user account

Optimization Tips

Test before full launch: Send a test email from lemlist to yourself and verify it appears in your CRM before launching campaigns.

Document BCC addresses: Keep a record of each team member's BCC address (especially for CRMs like Salesforce that provide unique addresses per user).

Check CRM limits: Some CRMs have daily limits on BCC email logging. Verify your volume won't exceed these limits.

Combine with native integrations: If your CRM has a native lemlist integration (HubSpot, Pipedrive, Salesforce), consider using that instead of BCC for richer data sync (activities, deal creation, etc.).

Set up onboarding for new team members: Include BCC configuration in your lemlist onboarding checklist so new hires sync emails from day one.

Monitor CRM sync regularly: Spot-check CRM records weekly to ensure emails continue syncing correctly.

Use BCC for unsupported CRMs: If your CRM doesn't have a native lemlist integration, BCC is your best option for email tracking.
