Sync Pipedrive with lemlist

By the end of this guide, you'll know how to connect Pipedrive to lemlist, add custom fields in Pipedrive to receive lemlist data, configure CRM integration settings in your lemlist campaign, and import leads from Pipedrive into lemlist campaigns.

Why This Matters

Managing leads across lemlist and Pipedrive manually wastes time and creates data inconsistencies. Without integration, you're constantly switching between platforms, manually updating CRM records, and risking data loss.

Integrating lemlist with Pipedrive:

  • Automates deal creation – Leads from lemlist automatically become deals in Pipedrive

  • Syncs activity data – Email opens, clicks, replies, and LinkedIn actions log to Pipedrive

  • Keeps data updated – CRM records stay current with verified emails and recent engagement

  • Enables CRM-based imports – Pull leads from Pipedrive filters directly into campaigns

  • Reduces manual work – No more copy-pasting between platforms

Prerequisites

Before setting up Pipedrive integration:

  • You have a Pipedrive account with admin access to create custom fields

  • You have a lemlist account with campaign creation access

  • You know which Pipedrive fields you want to sync (email, LinkedIn URL, campaign name, etc.)

  • You're ready to add custom fields in Pipedrive (takes about 10–15 minutes)

Step 1: Connect Pipedrive to lemlist

Go to Integrations

  1. Click your profile/name in the bottom-left corner, then select Settings

  2. In the left sidebar, select Integrations, then find Pipedrive and click Connect

Authorize the connection

Follow the prompts to authorize lemlist to access your Pipedrive account. After authorization, Pipedrive will appear as connected in your lemlist integrations.

Step 2: Add Custom Fields in Pipedrive

For lemlist to send data to Pipedrive, you need to add custom fields in Pipedrive. These fields store information from lemlist (emails, LinkedIn URLs, campaign names, etc.).

Access Pipedrive Company Settings

  1. Log in to Pipedrive

  2. Click your account icon (top-right corner), then select Company settings

Go to Data fields and create a custom field

In the left sidebar, select Data fields, then click the green + Custom field button to create a new field

For each custom field, complete two steps:

  1. Write the "Field name" (exact spelling, case-sensitive)

  2. Select the "Field type" (text, longtext, numeric, etc.)

⚠️ Important: Field names are case-sensitive. Copy the exact names below to avoid errors.

Custom Fields to Add

For Deals/Leads:

If you use LinkedIn enrichment or Email Finder & Verifier, add these fields:

For multiple LinkedIn entries (certifications, schools, etc.):

Add Activity Types (Optional, for custom icons)

If you want custom icons for lemlist activities in Pipedrive:

  1. Go to Company settings, open the Activities tab, and review your activity settings

  2. Scroll to Activity types and click the green + Activity type button to add any missing types

Verify these activity types exist:

  • email – Default for all email activities

  • task – For manual tasks in lemlist

  • linkedin – To differentiate LinkedIn activities from email

Step 3: Configure CRM Integration in lemlist Campaign

Now that Pipedrive can receive lemlist data, configure your lemlist campaign to pull leads from Pipedrive and (optionally) create deals in Pipedrive.

Import leads from Pipedrive into a campaign

  1. Open your campaign and go to the Lead list tab, then click Import new leads

  2. Choose the CRM import option

  3. Select Pipedrive, then click Continue with Pipedrive

  4. Open the Pipedrive account dropdown to choose which account to use

  5. Select the Pipedrive account you want to use for this campaign

  6. Open the Pipedrive filter dropdown

  7. Select the filter you want to import from (this determines which Pipedrive people are synced into the campaign)

  8. (Optional) Choose whether to automatically pause lemlist leads when they no longer match the selected Pipedrive filter, then click Continue

  9. Review enrichment/duplicate options and click Confirm to start the import

Configure deal creation and stage (CRM integration inside the campaign)

To control how lemlist interacts with Pipedrive from inside the campaign, open the campaign Settings (gear icon), go to CRM integration, and open the stage dropdown

How You'll Know It Worked

Pipedrive shows "Connected" status in lemlist Settings → Integrations

Leads imported from Pipedrive appear in your lemlist campaign Lead list

Custom fields populate with lemlist data (campaign name, LinkedIn URL, etc.)

Deals are created in Pipedrive (if you enabled deal creation options in CRM integration)

Troubleshooting

Issue: Can't connect Pipedrive to lemlist

Root cause: Missing permissions in Pipedrive or the authorization flow was not completed.

Fix:

  • Verify you have admin access in Pipedrive

  • Disconnect and reconnect Pipedrive from lemlist Settings → Integrations

  • Complete the authorization prompts fully (don’t close the window mid-flow)

Issue: Custom fields not populating in Pipedrive

Root cause: Field names don't match exactly (case-sensitive) or field type is wrong.

Fix:

  • Double-check field names in Pipedrive match lemlist's exact spelling (e.g., firstName not Firstname)

  • Verify field type is correct (text vs. longtext vs. numeric)

  • Re-import leads after fixing field names

Issue: Leads aren’t importing from Pipedrive

Root cause: The selected Pipedrive filter returns no results or the wrong account/filter was selected.

Fix:

  • Confirm the filter in Pipedrive contains the people you expect

  • Repeat the import and select the correct Pipedrive account and filter

  • If you updated the filter recently, try re-running the import

Issue: Activities aren’t syncing to Pipedrive (icons/activities not as expected)

Root cause: Pipedrive activity types are missing or not configured.

Fix:

  • In Pipedrive, go to Company settings → Activities and add any missing activity types (e.g., email, task, linkedin)

  • Reconnect Pipedrive in lemlist if the issue persists

Optimization Tips

Map only the fields you need: Don't add all custom fields if you only use a subset. This keeps Pipedrive clean and reduces sync complexity.

Use Pipedrive filters strategically: Create specific filters in Pipedrive (e.g., "Qualified Leads," "High Intent") to import only relevant leads into campaigns.

Test with a small batch first: Before importing a large list, test with 10–20 leads to confirm fields populate correctly and the right filter is used.

Document your field mapping: Keep a record of which lemlist fields map to which Pipedrive custom fields for future reference or troubleshooting.
