Why This Matters

Extern users solve the problem of giving limited access to people who send campaigns but shouldn't manage account settings, billing, or other team functions. With password-less login enabled, they view only the reports for campaigns they send.

This keeps client data separate and secure. An extern for Client A sees only Client A's campaign performance. They can't access Client B's reports, change team settings, or view billing information. It's report visibility without account control.

How to Invite an Extern User

  1. Click your profile in the bottom-left corner, then select Plans & billing.

  2. Click Invite user, then select Invite external users.

  3. Fill in the extern user details (first name, last name, company name, and email), then toggle Allow access to lemlist to enable password-less login.

Important: Without password-less login enabled, extern users can connect their email provider and LinkedIn but won't have access to lemlist features or reports.

  1. Click Send external invitation.

The extern user receives an email with two links:

  • Link 1: Connect email provider and LinkedIn

  • Link 2: Access campaign reports

The external user must use Link 2 to view reports. Link 1 only connects their accounts.

How to Manage Extern Users in Your Cockpit

After inviting an extern, you can manage their access from Plans and Billing.

Grant or Revoke Report Access

  1. Go to Plans and Billing.

  2. Find the extern user in the list and click the ... menu.

  3. Select Grant extern access to grant access. If access is already granted, use the same menu option to revoke it.

Resend Connection Link

Connection links expire after 3 days. If an extern didn't complete setup in time:

  1. Go to Plans and Billing.

  2. Find the extern user and click the ... menu, then select Resend invitation.

Edit Extern Settings

Update an extern's custom tracking domain, sending limits, or email signature:

  1. Go to Plans and Billing.

  2. Find the extern user and click the ... menu, then select Edit.

  3. Update the settings as needed.

  4. Click Save.

Remove an Extern User

  1. Go to Plans and Billing.

  2. Find the extern user and click the ... menu, then select Remove user.

  3. Confirm the removal.

The extern loses access immediately and their seat becomes available.

Report Access Rules

Extern users can only view reports if:

  1. They have an active paid seat on your team

  2. They are senders on at least one campaign

  3. Password-less login is enabled for their account

Without these conditions met, the extern can connect their email and LinkedIn but can't see any reports or use lemlist features.

What Extern Users Can See

  • Campaign reports for campaigns where they are listed as senders

  • Performance metrics (open rate, reply rate, bounce rate)

  • Lead activity and engagement data for their campaigns

What Extern Users Cannot See

  • Reports for campaigns where they are not senders

  • Team settings or member information

  • Billing or payment details

  • Other clients' campaign data

  • Account admin controls

Troubleshooting Common Issues

Extern Can't See Reports

Check that:

  • Password-less login is enabled in Plans and Billing.

  • The extern has an active paid seat

  • The extern is added as a sender on at least one campaign

  • They're using the report access link (Link 2) from the invitation email, not the account setup link (Link 1)

Connection Link Expired

Go to Plans and Billing, find the extern user, open the ... menu, and select Resend invitation. The new link is valid for 3 days.

Wrong LinkedIn Account Connected

The extern can unlink their LinkedIn from the Chrome extension, or you can unlink it for them:

  1. Go to Plans and Billing.
