HubSpot Integration: How to Import Leads

Step-by-step guide to import your leads from HubSpot to lemlist!

Overview

The HubSpot integration enables automatic lead import from HubSpot to lemlist.

You can seamlessly sync leads and track all activities—such as emails sent, opened, clicked, replied, and LinkedIn interactions—stored as notes in the corresponding HubSpot contact, if you enable so.

You have the flexibility to determine when to create deals in HubSpot, allowing you to push only interested leads and avoid cluttering your CRM.

Remember to configure these settings for each campaign.

Get Started

Step 1: Connect to HubSpot

  1. Navigate to 'Settings' and select 'Integrations.'

  2. Scroll down to find the HubSpot Integration.

  3. Click the 'Connect' button.

Make sure to enable this option to sync the campaign name and lead status with the connected CRM.

Click here to connect HubSpot:

A popup will appear prompting you to enter your username and password, unless you are already logged into HubSpot in a separate browser tab.

Once HubSpot authorization is complete, you can connect without needing to log in again.

Working with HubSpot is straightforward: simply create a new contact list and apply filters to select the desired contacts.

E.g. for contacts whose city name is Cambridge:

All contact lists created in HubSpot will appear in lemlist as filter names when you're creating a campaign with HubSpot to add leads.

Important: It's essential to add the fields you want to import into your lemlist campaign as columns in your list.

For example, in the screenshot below, if I hadn't included the 'STATE/REGION' field as a column, it wouldn't have been imported into my lemlist campaign:

Import Leads

First, when creating a new campaign, go to the 'Lead list' tab and choose how you want to import your leads.

  1. Click on either button 'Import new leads.'

  2. Select 'From CRM' and then choose the filter you want to connect to.

Then select the wanted CRM:

You will see 3 options:

  1. Select the HubSpot account to use for this campaign.

  2. Choose the HubSpot filter to sync contacts into the campaign.

  3. Enable automatic pausing of leads in lemlist when they no longer match the HubSpot filter.

Important Note: Enrichment is not possible for leads that have been linked or imported from a CRM. Each time the CRM is updated, the data will be removed, making enrichment impossible.

CRM Integration Campaign Settings

To see the campaign CRM options, you must enter the campaign settings:

Here, you will see these options:

  1. HubSpot Triggers:

  • Create contacts and companies in HubSpot if they do not already exist.

  • Create deals when a lead is marked as interested in lemlist.

  • Create deals when a new task is created in lemlist.

2. Choose the stage in HubSpot for deal creation in lemlist.

3. Add lemlist activities to HubSpot.

By default, all lead activities—such as emails sent, opened, clicked, replied, and LinkedIn interactions—are automatically recorded as NOTES for the corresponding contact in HubSpot. Please note that you cannot selectively choose which activities to add; you must either include all of them or none.
