Why this matters
Adding phone calls to your sequence creates an extra touchpoint at the right moment (after an email or LinkedIn step), which can improve connection rates and help you qualify prospects faster. With the Aircall integration, your team can now track call outcomes more clearly in lemlist, use those outcomes to trigger automations such as marking a lead as interested or not interested, access call recordings directly in lemlist, and keep call activity visible in reporting.
Prerequisites
You already have a campaign/sequence you can edit in lemlist.
If you want to call from lemlist via Aircall, you need an Aircall account with at least 3 seats.
If your team connects Aircall to lemlist for the first time, the integration now only needs to be set up once for the whole team rather than once per user.
Note: If you already had an Aircall integration connected before this update, you’ll need to delete and reconnect the integration for call notes to sync correctly in lemlist.
Core lesson — Step-by-step workflow
Phase 1: Add a Call step to your sequence
Add the Call step: In the sequence builder, click the + under the step where you want to add a new action, then select Call. This creates a manual execution step that will generate a call task when the lead reaches it.
Phase 2: Find call tasks in Tasks
Phase 3: Place the call and log the outcome
Start the call: In the call task panel, click Call to place the call. If Aircall is connected, the call will open through Aircall.
Once the Aircall dialer opens, click on the arrows to expand the window
Click on the Notes icon to open up the Notes window
Here you can either type notes manually or click on tags to choose one of the pre-saved tags
Phase 4: Update the lead and automate the next step
Update the lead’s outcome in the campaign: If the prospect is clearly Interested or Not interested, open the lead’s Campaigns view and use the corresponding action to reflect the outcome so the sequence behaves correctly, for example by stopping the sequence for that prospect when appropriate.
Use call statuses to drive automations: Once your Aircall labels are synced into lemlist, you can edit your call statuses in lemlist and attach automations such as Mark as Interested or Mark as Not Interested. This helps sales reps move leads through the right lifecycle stage faster and pause campaigns when needed.
What’s new with the Aircall integration
Call outcomes / tags are synced from Aircall to lemlist: Call statuses created in Aircall are now available in lemlist and can be enriched with automations.
Call recordings are available in lemlist: If your Aircall plan includes the AI add-on, recordings can also include a transcript and summary inside lemlist.
Calls made with Aircall are available in lemlist Reports: This makes it easier to review calling activity alongside the rest of your outreach performance.
New team-level setup: For newly connected teams, Aircall only needs to be configured once for the whole team.
How to make your call flow on Aircall more efficient
Create your call statuses in Aircall so your team uses a consistent set of outcomes.
Make your calls as usual in Aircall and choose the correct label on the dialer when the call ends.
Review synced statuses in lemlist on the related call activities and in your call settings.
Add automations to each status in lemlist by going to Call settings > Edit call statuses, selecting the status you want to update, and attaching the right automation such as Mark as Interested or Mark as Not Interested.
Practical application / real-life example
A common pattern is to place a call after an email touchpoint. For example: Email → wait 1–2 days → Call → follow-up Email referencing the attempt (“I tried to reach you...”) if there was no answer. With synced Aircall outcomes, you can also automatically stop or adjust the sequence when a rep logs a result like Connected positive or Not interested.
Troubleshooting & pitfalls
Issue: I don’t see any call tasks.
Root cause: The lead hasn’t reached the Call step yet, or the step wasn’t added to the sequence.
Fix: Confirm the Call step exists in your sequence, then check that leads are progressing and reaching that step.
Issue: I can’t call from lemlist with Aircall.
Root cause: Your Aircall plan doesn’t meet requirements, or the integration isn’t fully connected.
Fix: Verify your Aircall account has at least 3 seats, then try again from the call task by clicking Call.
Issue: My call notes or outcomes aren’t syncing correctly.
Root cause: The integration may have been connected before the latest Aircall sync improvements.
Fix: Delete the existing Aircall integration and reconnect it so call notes and synced outcomes work correctly.
Issue: I don’t see recordings, transcripts, or summaries in lemlist.
Root cause: Your Aircall workspace may not include the required recording or AI features.
Fix: Confirm call recording is enabled in Aircall and that your subscription includes the AI add-on if you want transcripts and summaries.
