Learning Objective
By the end of this guide, you'll know how to connect Pipedrive to lemlist, add custom fields in Pipedrive to receive lemlist data, configure CRM integration settings in your lemlist campaign, and import leads from Pipedrive into lemlist campaigns.
⚠️ Important: lemlist only imports data from Pipedrive Person (People) records. Organization-level custom fields will NOT be imported. If you need to use Organization-level data (e.g., company industry, subscription tier), you must first copy or map that data to Person records in Pipedrive via automation, API, or your data warehouse sync.
Why This Matters
Managing leads across lemlist and Pipedrive manually wastes time and creates data inconsistencies. Without integration, you're constantly switching between platforms, manually updating CRM records, and risking data loss.
Integrating lemlist with Pipedrive:
Automates deal creation – Leads from lemlist automatically become deals in Pipedrive
Syncs activity data – Email opens, clicks, replies, LinkedIn actions and calls log to Pipedrive
Keeps data updated – CRM records stay current with verified emails and recent engagement
Enables CRM-based imports – Pull leads from Pipedrive filters directly into campaigns
Reduces manual work – No more copy-pasting between platforms
Prerequisites
Before setting up Pipedrive integration:
You have a Pipedrive account with admin access to create custom fields
You have a lemlist account with campaign creation access
You know which Pipedrive fields you want to sync (email, LinkedIn URL, campaign name, etc.)
You're ready to add custom fields in Pipedrive (takes about 10–15 minutes)
Step 1: Connect Pipedrive to lemlist
Go to Integrations
Click your profile/name in the bottom-left corner, then select Settings
In the left sidebar, select Integrations, then find Pipedrive and click Connect
Authorize the connection
Follow the prompts to authorize lemlist to access your Pipedrive account. After authorization, Pipedrive will appear as connected in your lemlist integrations.
Step 2: Add Custom Fields in Pipedrive
For lemlist to send data to Pipedrive, you need to add custom fields in Pipedrive. These fields store information from lemlist (emails, LinkedIn URLs, campaign names, etc.).
Access Pipedrive Company Settings
Go to Data fields and create a custom field
In the left sidebar, select Data fields, then click the green + Custom field button to create a new field
For each custom field, complete two steps:
Write the "Field name" (exact spelling, case-sensitive)
Select the "Field type" (text, longtext, numeric, etc.)
⚠️ Important: Field names are case-sensitive. Copy the exact names below to avoid errors.

Field Visibility Requirements
For lemlist to access your custom fields, ensure:
In Pipedrive, go to Company settings → Data fields
Click on your custom field and check the "Visible to" setting
Set it to "Visible to everyone" (or ensure the Pipedrive user connected to lemlist has explicit access)
If a field is restricted, lemlist can see the field structure but will import empty values
Note: After changing visibility, reconnect the Pipedrive integration in lemlist and re-import your leads.
Add Activity Types (Optional, for custom icons)
If you want custom icons for lemlist activities in Pipedrive:
Go to Company settings, open the Activities tab, and review your activity settings
Scroll to Activity types and click the green + Activity type button to add any missing types
Verify these activity types exist:
email– Default for all email activitiestask– For manual tasks in lemlistlinkedin– To differentiate LinkedIn activities from email
Calls need nothing here. call is a native Pipedrive activity type present in every account, so there is no type to create for call sync.
Call activities in Pipedrive
A call placed with lemlist is logged on the Pipedrive person as an activity of type call, with the call duration. The activity is titled "Call done from [campaign name]", and calls placed outside a campaign sync too. The person has to exist in Pipedrive first — a call on a contact that isn't synced yet waits until it is.
Unlike HubSpot and Salesforce, Pipedrive activities carry no outcome field, so the call status a rep picks in lemlist is not written to the Pipedrive activity.
What travels with the call
Four independent toggles control what lemlist sends alongside the call: Calls note, Calls recording, Calls transcript, Calls summary. They are on by default.
Everything enabled is written into the activity note, always in the same order — the rep's note, the AI summary, the recording link, then the transcript. A section with nothing in it is skipped.
The note fills up progressively. The activity is created as soon as the call ends with whatever exists at that moment, then rewritten when the transcript arrives, and rewritten again when the AI summary is generated.
The recording link is public. Anyone who opens it from the Pipedrive activity can listen to the call — no lemlist account required — and the link never expires and cannot be revoked. Turn off Calls recording if that isn't acceptable for your team.
The note is rebuilt, not merged. Editing it by hand in Pipedrive is overwritten on the next refresh. Write call notes in lemlist.
The AI summary is synced, not generated. It is pushed only if the call already has one — syncing never triggers a summary.
lemlist calls only. Calls coming from the Aircall or Ringover integrations do not carry a recording, transcript or summary.
Length limit: the Pipedrive activity note holds 65,535 characters. Longer content is cut from the end — so the transcript goes first — with no warning shown.
If your calls show up as email activities rather than call activities, your Pipedrive connection is running on the older version of the integration. Contact support to have it looked at.
Step 3: Configure CRM Integration in lemlist Campaign
Now that Pipedrive can receive lemlist data, configure your lemlist campaign to pull leads from Pipedrive and (optionally) create deals in Pipedrive.
Import leads from Pipedrive into a campaign
Open your campaign and go to the Lead list tab, then click Import new leads
Choose the CRM import option
Select Pipedrive, then click Continue with Pipedrive
Open the Pipedrive account dropdown to choose which account to use
Select the Pipedrive account you want to use for this campaign
Open the Pipedrive filter dropdown
Select the filter you want to import from (this determines which Pipedrive people are synced into the campaign)
(Optional) Choose whether to automatically pause lemlist leads when they no longer match the selected Pipedrive filter, then click Continue
Review enrichment/duplicate options and click Confirm to start the import
Configure deal creation and stage (CRM integration inside the campaign)
To control how lemlist interacts with Pipedrive from inside the campaign, open the campaign Settings (gear icon), go to CRM integration, and open the stage dropdown
Select the Pipedrive stage where new deals should be created (example shown: Contact Made)
How You'll Know It Worked
✓ Pipedrive shows "Connected" status in lemlist Settings → Integrations
✓ Leads imported from Pipedrive appear in your lemlist campaign Lead list
✓ Custom fields populate with lemlist data (campaign name, LinkedIn URL, etc.)
✓ Deals are created in Pipedrive (if you enabled deal creation options in CRM integration)
Using Organization-Level Data in Campaigns
lemlist imports Person records only - it cannot access Organization fields directly.
If you have data at the Organization level (e.g., company size, industry, subscription tier), you need to copy that data to each Person:
Options:
Pipedrive Automation: Set up workflows to copy Org fields to Person fields
API/Data Warehouse: Sync Org data to Person records via your data pipeline
Manual: Export to CSV, add Org data columns, re-import to Pipedrive
Once the data exists on Person records, it will sync to lemlist on import.
Troubleshooting: Custom Fields Not Syncing
If your custom field data isn't appearing in lemlist after import:
Check | Solution |
Field is under Organization, not Person | Recreate the field under Data fields → Person category |
Field name mismatch | Ensure the variable in lemlist matches the Pipedrive field name exactly (case-sensitive, including spaces/underscores) |
Field has no data | Verify the Pipedrive Person records actually have values in that field |
Field visibility restricted | Set field to "Visible to everyone" in Pipedrive |
Stale connection | Disconnect and reconnect Pipedrive in lemlist Settings → Integrations |
Old import | Re-import leads after making any Pipedrive changes |
Troubleshooting
Issue: Can't connect Pipedrive to lemlist
Root cause: Missing permissions in Pipedrive or the authorization flow was not completed.
Fix:
Verify you have admin access in Pipedrive
Disconnect and reconnect Pipedrive from lemlist Settings → Integrations
Complete the authorization prompts fully (don’t close the window mid-flow)
Issue: Custom fields not populating in Pipedrive
Root cause: Field names don't match exactly (case-sensitive) or field type is wrong.
Fix:
Double-check field names in Pipedrive match lemlist's exact spelling (e.g.,
firstNamenotFirstname)Verify field type is correct (text vs. longtext vs. numeric)
Re-import leads after fixing field names
Issue: Leads aren’t importing from Pipedrive
Root cause: The selected Pipedrive filter returns no results or the wrong account/filter was selected.
Fix:
Confirm the filter in Pipedrive contains the people you expect
Repeat the import and select the correct Pipedrive account and filter
If you updated the filter recently, try re-running the import
Issue: Activities aren’t syncing to Pipedrive (icons/activities not as expected)
Root cause: Pipedrive activity types are missing or not configured.
Fix:
In Pipedrive, go to Company settings → Activities and add any missing activity types (e.g.,
email, task, linkedin)Reconnect Pipedrive in lemlist if the issue persists
Issue: A call has no transcript or summary in Pipedrive
Root cause: Neither exists when the call ends — both are added on a later refresh. The call may also have no summary at all, or may have come from Aircall or Ringover rather than lemlist calling.
Fix:
Give it time and reopen the activity
Check the call in lemlist actually has a transcript and a summary
Confirm Calls transcript and Calls summary are enabled
Issue: A call note edited in Pipedrive reverted
Root cause: lemlist rebuilds the note on every refresh instead of merging it, so manual edits are replaced.
Fix:
Write the note in lemlist on the call record instead
Optimization Tips
Map only the fields you need: Don't add all custom fields if you only use a subset. This keeps Pipedrive clean and reduces sync complexity.
Use Pipedrive filters strategically: Create specific filters in Pipedrive (e.g., "Qualified Leads," "High Intent") to import only relevant leads into campaigns.
Test with a small batch first: Before importing a large list, test with 10–20 leads to confirm fields populate correctly and the right filter is used.
Document your field mapping: Keep a record of which lemlist fields map to which Pipedrive custom fields for future reference or troubleshooting.
