TL;DR
A seat = one user with the ability to send campaigns.
You can invite unlimited users, but only those with an active seat can send outreach.
Admins can manage billing, reports, and team settings even without a seat (but can’t send campaigns).
If you run out of seats, new users can still view campaigns/reports but can’t send until you assign them a seat.

Guest seats are free and let supervisors/stakeholders access reports and oversight without using a paid seat. When you turn a user’s seat off, they become a guest and use one of these free slots.
In lemlist, a seat represents your ability to send campaigns. Think of it as your license to use the platform's core features.
If you need to send outreach campaigns, you need an active seat. It's that simple.
How Seats Work
You can invite as many people as you want to your team. But only users with an enabled seat can send campaigns.
One seat = one user = one sender.
Here's an example. You're on the Multichannel Expert Yearly Plan with 50 seats. Out of those 50, you've assigned 47 to your team members. That means three seats are still available for new users or reassignment.
When you invite a new user, lemlist automatically assigns them a seat if one is available. If not, you'll need to either add more seats to your plan or reassign an existing one.
Why Seats Matter
The seat system gives you control. You can manage who has full access, reassign seats when team members leave, and avoid paying for users who don't need campaign access.
For agencies and large teams, this flexibility is essential. You can bring someone on for administrative work without paying for a seat, or you can quickly shift a seat from one team member to another when roles change.
If someone is invited for admin purposes only, assign them an Admin role and turn off their lemlist seat toggle so they use a free guest seat instead of a paid seat. They can manage the team, view reports, and handle billing without occupying a paid seat (within your guest seat limit).
What Happens When You Run Out of Seats
You can still invite new users. They'll have access to view campaigns and reports, but they won't be able to send anything until a seat is assigned to them.
At that point, you have two options:
Add more seats by upgrading your plan
Reassign an existing seat from a user who no longer needs it
How to Manage Seats
All seat management happens in Plans & Billing.
In the bottom-left corner of lemlist, click your name/avatar to open the account menu, then select Plans & billing.
In the lemlist plan card, you’ll see how many seats you have and how many are in use, shown as
X seat(s)andY/X seat(s) used. Seats apply only to the lemlist product card, not to lemwarm or lemcal.In the users table below, use the lemlist toggle to activate or deactivate a paid seat for each user. Turning the toggle off deactivates their paid seat (they can’t send campaigns), turns them into a guest seat if you have guest slots available, and frees that paid seat so you can assign it to someone else. The tooltip on this toggle shows how many guest-seat slots you have left.
To change the total number of paid seats on your subscription, click Manage plan on the lemlist card.
In the Manage plan modal, stay on your current plan column and use the – / + seats control under that plan to set the new seat count, then click Update. You’ll be billed per seat based on your current subscription cycle.
Disabling a user’s seat does not automatically reduce your total paid seat count, it only frees a paid seat for reassignment. If you want to be billed for fewer seats, make sure you also lower the seat number via Manage plan before your next billing cycle.
Seat Permissions by Role
Seats work alongside user roles to control access. You set each user’s role from the Role dropdown in the users table on the same Plans & billing page.
Admin with a seat: Full access to all features, including billing and the Cockpit
Admin without a seat (guest): Can manage the team and settings, but can't send campaigns
Member with a seat: Full campaign access, but no billing or Cockpit access
Member without a seat (guest): Can view reports, but can't send campaigns
Extern: Limited access to reports only, seat required
Guest Seats: Free Oversight Without Extra Cost
Guest seats let you bring in supervisors, stakeholders, or external managers without paying for a full seat.
You can invite up to 5 guest seats on the Multichannel Expert and Email Pro plans. The Enterprise Plan allows unlimited guest seats.
When you deactivate a user’s paid seat using the lemlist toggle on the Billing page, that user becomes a guest. This uses one of your available guest seats (up to 5 on Email Pro and Multichannel Expert; unlimited on Enterprise) and frees their paid seat so it can be assigned to someone else.
If you assign an Admin role to a guest seat, they can fully manage your team, including campaigns, settings, and users, without occupying a paid seat.
