Agencies and large teams often need to send a large volume of cold emails quickly. To manage this while staying within email limits (explained here), Inbox Rotation is a great solution. It allows you to run campaigns through multiple sending accounts simultaneously, ensuring smooth operations.

How to add Inbox Rotation to a campaign:

  1. Go to the desired campaign:
    Navigate to the "Sequence" section of your campaign.

  2. Choose your senders:
    Select the senders you want to use for the campaign.

  3. Optional: Force a Sender:
    You can also "Force a sender" for individual steps. This allows you to assign specific steps to particular team members, overriding the default sender(s).

How the Inbox Rotation Feature Works

Understanding how inbox rotation works will help you maximize its benefits and use it effectively in your campaigns. The process is intuitive and ensures an organized distribution of leads and senders. Let’s break it down step-by-step to highlight its functionality and impact.

Example Scenario

Imagine you have a campaign with:

  • 3 Steps: Steps represent the sequence of actions in your outreach (e.g., email, LinkedIn message).

  • 3 Leads: The recipients you are contacting.

  • 3 Senders: The inboxes used to send the messages.

Here’s how inbox rotation assigns senders to leads:

Step 1:

  • Lead 1 receives an email from Sender 1.

  • Lead 2 receives an email from Sender 2.

  • Lead 3 receives an email from Sender 3.

Step 2 and Step 3:

By default, the leads will continue to receive emails from the same senders as in Step 1. For example:

  • Lead 1 will receive an email from Sender 1.

  • Lead 2 will receive an email from Sender 2.

  • Lead 3 will receive an email from Sender 3.

Important Notes:

  1. Random allocation for step 1: The assignment of leads to senders in Step 1 is random. This ensures fair distribution across senders.

  2. Consistent sender for each lead: Unless you enable the "force a sender" option, leads will always receive messages from the same sender throughout all steps. For instance, Lead 1 will not receive an email from Sender 2 in Step 2 if they were initially contacted by Sender 1.

PS: Applies to All Steps

The same logic applies to email and LinkedIn steps in your campaign.

Why Does This Matter?

By maintaining consistency in the sender-lead relationship, your communication remains professional and trustworthy. This prevents confusion for the recipient and strengthens the effectiveness of your campaign.

Task Creation with Inbox Rotation:

Tasks are assigned to the sender who contacted each specific lead.

As a result, tasks may be displayed under your teammates’ task lists, based on who was assigned to each step in the sequence.

Tips for Optimizing Inbox Rotation

  • Use multiple inboxes for high-volume campaigns to reduce the risk of deliverability issues.

  • Keep track of sender performance to ensure consistent results.

  • Experiment with the "force a sender" option if you need specific flexibility.
