Change teammate settings

Learn how to manage your teammate's limits, custom tracking domain, and email signature directly from your account without logging out

Updated over 2 weeks ago

TL;DR

Workspace admins can edit a teammate’s sending limits, email signature, notifications, and custom tracking domain without logging into the teammate’s account. Go to Cockpit → Manage teams, open the teammate’s menu (three dots), click Edit, make changes, and save. Takes about 2 minutes.

Who Should Use This

  • Admins managing a team and need to update teammate settings quickly

  • Agencies onboarding new team members who need preset sending limits

  • Operations managers setting unified signatures or tracking domains

  • Admins standardizing notification preferences across a team

If you're not an Admin or don't manage team settings, skip this.

Key Concept: What You Can Edit

You can adjust these settings for a teammate:

  • Sending Limits: Daily email quotas for campaigns. Helps prevent over-sending and maintains deliverability.

  • Email Signature: Custom signature that appears at the bottom of campaign emails. Keeps branding consistent.

  • Notifications: Controls which product emails/alerts are sent for the teammate (and, depending on the option, for users on the team).

  • Custom Tracking Domain: Your own domain for tracking links, improving email deliverability and trust.

These settings apply to campaign sending behavior and account preferences. You cannot change a teammate's login credentials or account access from this screen.

Why This Matters

Editing teammate settings from the Cockpit saves time and ensures consistency across your team. Instead of asking teammates to adjust their own limits, signature, or notifications, you can standardize settings centrally.

This is especially helpful when onboarding new users, enforcing sending compliance policies, or rolling out a unified brand signature.

Step-by-Step Guide

  1. Click your profile (bottom-left), then select Cockpit.

  2. In Cockpit, stay on Manage teams, select the team (if needed), then find the teammate and click the three dots on the far right of their row.

  • Notifications: Select Notifications, then toggle the notifications you want to enable/disable under Your account (and Users on your team if applicable).

  • Custom tracking domain: In the teammate’s sending settings, update the custom tracking domain field (if your workspace uses a custom domain).

How You'll Know It Worked

  • ✓ The teammate's settings page shows the updated limits, signature, notifications, or tracking domain.

  • ✓ Changes are immediately visible when you re-open the Edit screen for that user.

  • ✓ The teammate can see the new settings in their own account (for signature, notifications, and tracking domain).

Troubleshooting

Issue: I can't find the Cockpit menu.

  • Root cause: You don't have Admin role permissions.

  • Fix: Only Admins can access the Cockpit. Contact your workspace Admin to request the role change, or ask them to make the edits for you.

Issue: I don't see the Edit button for a teammate.

  • Root cause: The user may be an Extern, or you're looking in the wrong section.

  • Fix: Confirm you're in Cockpit → Manage teams and that you selected the correct team. If the user is an Extern, their settings are limited and may not have an Edit option.

Issue: The teammate says they don't see the updated signature.

  • Root cause: The teammate may be looking at an old campaign or hasn't refreshed their view.

  • Fix: Ask the teammate to log out and log back in, or refresh their browser. The signature only applies to new campaigns or emails sent after the change, not to messages already sent.

Issue: Changes didn't save.

  • Root cause: You didn't click Save, or there was a validation error.

  • Fix: Make sure you click Save after editing. If you see an error message, check that sending limits are numeric values and that the tracking domain format is correct.
